Job Description:
The Director of Operations will oversee the daily operational
functions of all schools to ensure a smooth and efficient running
of all activities. This role involves managing facilities,
coordinating with staff and vendors, and implementing systems to
support the school's mission and goals. The ideal candidate will
have strong organizational skills, a knack for problem-solving, a
positive mindset, strategic thinking, and a passion for
education.ResponsibilitiesLeadership and Development:
- Mentor and develop school operations leaders and administrative
staff, providing regular check-ins, professional development
opportunities, and feedback to ensure high performance and
growth.
- Foster positive relationships with community stakeholders,
district leadership, and external service providers, ensuring that
the school's operations are well-supported and aligned with
community expectations and standards.Facilities Management:
- Work with Facilities to oversee the maintenance, cleanliness,
and safety of the school facilities.
- Coordinate with maintenance staff, contractors, and vendors to
ensure timely and effective resolution of issues.Operational
Efficiency:
- Streamline operational processes to improve efficiency and
effectiveness.
- Work with leaders to manage arrival and dismissal and ensure a
positive and safe experience for students and families.
- Manage the procurement and inventory of supplies and
equipment.
- Oversee purchase orders, timesheets, and invoice data entry and
work with the back office provider to ensure accuracy.
- Develop and maintain operational budgets and track
expenditures.
- Update inventory and order supplies as needed.
- Design and implement scalable operational systems, including
standardized processes, protocols, and frameworks to ensure smooth
and efficient school operations as the district grows. Regularly
audit systems for continuous improvement and adherence to best
practices.
- Ensure written policies are kept current in the face of
changing practices and that all staff are regularly trained.
- Identify operational risks and implement risk mitigation
strategies.Administrative Support:
- Supervise administrative staff and support their professional
development.
- Ensure that all administrative functions are carried out
efficiently, including record-keeping and correspondence.
- Assist in the development and implementation of school policies
and procedures.
- Ensure the main office is welcoming to all community members
and that parents have positive interactions with main office
staff.
- Ensure all campus buildings are opened and closed efficiently
and in accordance with school hours.
- Track all PTO, call outs, and unpaid days. Communicate weekly
with the back office about staff absences and ensure leaders
communicate with direct reports about unpaid or blackout
days.Safety and Compliance:
- Ensure all operational functions comply with local, state, and
federal regulations, including audits from TEA, TDA, and the Health
Department.
- Develop, manage, and enforce crisis management strategies,
preparing the school for potential emergencies. Collaborate with
leadership to ensure they are familiar with response procedures and
test systems at the required intervals.
- Conduct regular safety drills and inspections including fire
drills and lockdown drills.
- Work with the fire alarm company, fire department, and fire
marshall to ensure all fire alarms are inspected, operational, and
our fire binder (with drills) is fully compliant.
- Ensure strict confidentiality of personal student and staff
information and data.
- Ensure compliance with any audits from TEA, TDA, and the Health
Department.Crisis Management:
- Develop crisis management processes and guide short- and
long-term solutions.
- Prepare plans to handle crises and work with leaders to ensure
they know key actions and steps.
- Develop a plan to mitigate potential future issues and
recommend a course of action to executives.Event Coordination:
- Plan and coordinate school events, including meetings,
professional development sessions, conferences, fundraisers, and
extracurricular activities.
- Work with school leadership to support special programs and
initiatives.Stakeholder Communication:
- Serve as a liaison between the school and external
stakeholders, including parents, community members, and
vendors.
- Address and resolve any operational issues or concerns raised
by staff, students, or parents.
- Lead professional development sessions with staff on operations
including sessions on technology use, supplies and inventory, and
other operational sessions.Technology Management:
- Oversee the implementation and maintenance of school technology
systems.
- Ensure that technology resources are available and functioning
for all staff and students.
- Track technology including inventory, repairs, costs, and
maintenance.
- Work with IT contractors to ensure technology supports learning
and works well.Student Enrollment & Attendance:
- Student Recruitment & Enrollment: Maintain visibility into
enrollment metrics and work closely with leadership to ensure new
families are effectively onboarded.
- ADA Compliance & Strategies: Monitor Average Daily Attendance
(ADA) and work with school leadership to ensure the implementation
of ADA strategies. Ensure compliance with state and federal
attendance regulations.Other Operational Duties: Perform additional
operational tasks as assigned by the Chief Operations Officer (COO)
or Superintendent to ensure smooth school operations.
